TERMS & CONDITIONS

These Terms and Conditions apply to all attendees, exhibitors, partners, sponsors, competition entrants and participants attending The Creative Edit ("the Event"), organised by Kaimba Management and SHELEN ("the Organisers").

By purchasing a ticket, booking an exhibitor space, entering a competition, participating in an activity or attending the Event, attendees agree to comply with these Terms and Conditions.


1. Event Organisers

The Creative Edit is organised and managed solely by Kaimba Management and SHELEN.

Factory International, Aviva Studios and their employees, agents and representatives provide venue facilities only and accept no responsibility or liability whatsoever for the organisation, management, operation, content, activities, exhibitors, competitions, sponsors, attendees or transactions undertaken in connection with The Creative Edit.

All enquiries relating to the Event should be directed to the Organisers.


2. Admission

The Event is open to individuals aged 16 years and over.

Attendees under the age of 18 should be accompanied by a responsible adult, educational representative or guardian where appropriate.

The Organisers reserve the right to request proof of age and may refuse admission where suitable identification cannot be provided.

All attendees must hold a valid ticket, educational booking confirmation or exhibitor pass.

Tickets must be presented upon arrival either electronically or in printed format.

The Organisers reserve the right to refuse entry or remove attendees whose behaviour is deemed unsafe, disruptive, offensive or inappropriate.


3. Tickets, Payments and Refunds

All ticket sales are final.

Tickets purchased for The Creative Edit are:

• Non-refundable;

• Non-transferable;

• Not exchangeable.

Lost, stolen or unused tickets cannot be refunded.

Should the Organisers cancel the Event, attendees will be contacted regarding available options.

The Organisers shall not be responsible for travel, accommodation or any other associated costs incurred by attendees.


4. Educational Group Bookings

Educational establishments are eligible for group booking discounts.

Groups of 10 or more attendees receive a 10% discount.

Groups of 20 or more attendees receive a 20% discount.

An additional educator access ticket may be purchased for £20 per accompanying tutor.

Educational providers are responsible for the welfare, conduct and supervision of their learners throughout the Event.


5. Exhibitors and Promotional Stalls

Exhibitor bookings, vendor packages and promotional stalls are non-refundable and non-transferable.

Exhibitors are responsible for ensuring that all products, demonstrations, services and promotional activities comply with applicable legislation, health and safety requirements and intellectual property rights.


Public Liability Insurance

All exhibitors, vendors and promotional stall holders are responsible for ensuring that they hold appropriate Public Liability Insurance and any other insurance required in connection with their participation in the Event.

By booking an exhibitor space, vendor package or promotional stall, participants confirm that suitable insurance cover is in place for the duration of the Event and that they will comply with all applicable health and safety requirements.

The Organisers reserve the right to request evidence of insurance where reasonably required and may refuse participation, withhold exhibitor passes or remove exhibitors from the Event where appropriate insurance arrangements are not in place.

Exhibitors are also responsible for undertaking any necessary risk assessments relating to their activities, demonstrations, equipment or products and for ensuring their stand is operated safely and professionally at all times.


Exhibition Stall Bookings and Payments

Exhibitor spaces, vendor packages and promotional stalls are allocated on a first-come, first-served basis and are only deemed confirmed upon receipt of the required payment.

To secure an exhibition stand, exhibitors are required to pay a non-refundable deposit of 50% of the total booking value.

The remaining balance must be paid in full no later than 60 days prior to the Event date.

Bookings made within 60 days of the Event date must be paid in full at the time of booking.

Exhibitors who fail to pay the outstanding balance by the stated deadline may forfeit their booking, and the Organisers reserve the right to reallocate the space without further notice.

All payments made towards exhibitor spaces, vendor packages and promotional stalls are non-refundable and non-transferable unless otherwise agreed in writing by the Organisers.


Cancellation by Exhibitors

Exhibitors wishing to cancel their booking must notify the Organisers in writing.

Deposits and payments made towards exhibition spaces, vendor packages and promotional stalls are non-refundable.

The Organisers reserve the right, at their sole discretion, to permit the transfer or resale of an exhibition space where appropriate; however, this cannot be guaranteed.

The Organisers reserve the right to request the removal of any products, materials, displays or activities deemed unsafe, inappropriate or inconsistent with the ethos and values of The Creative Edit.


6. Competitions

Competition entries are non-refundable and non-transferable.

By entering competitions associated with The Creative Edit, participants consent to receiving communications from Kaimba Management, SHELEN and associated competition partners in relation to the competition.

Prizes:

• Must be accepted as offered;

• Are non-transferable;

• Are not redeemable for cash;

• Cannot be exchanged.

The Organisers reserve the right to substitute prizes where necessary.

Judges' decisions are final.


7. Photography, Filming and Media

Photography, filming and content creation will take place throughout the Event.

By attending The Creative Edit, attendees consent to being photographed, filmed or recorded for marketing, promotional and editorial purposes.

Images and footage may be used by Kaimba Management, SHELEN and approved media partners in future promotional materials.

Attendees who do not wish to appear in photographs should notify the Event Team via email at events@shelen.co.uk at least seven (7) days prior to the Event and make themselves known to the Event Team upon arrival.


8. Data Protection

By registering for The Creative Edit, attendees consent to receiving communications relating to:

• Event updates;

• Exhibitor information;

• Speaker announcements;

• Educational opportunities;

• Post-event surveys;

• Future Creative Edit events.

Where attendees choose to share information with exhibitors, sponsors or partners through badge scanning, QR codes or direct sign-up, they do so voluntarily.

Attendees may unsubscribe from communications at any time.


9. Transactions at the Event

Kaimba Management and SHELEN shall not be liable for any transactions undertaken between attendees and exhibitors, sponsors, vendors or third parties.

Any disputes arising from purchases, bookings or agreements entered into during the Event should be addressed directly with the relevant exhibitor or provider.


10. Limitation of Liability

Attendees participate in the Event at their own risk.

Kaimba Management and SHELEN shall not be liable for loss, theft, damage to personal belongings, injury, illness or consequential losses except where liability cannot legally be excluded.

Factory International and Aviva Studios shall have no liability whatsoever in relation to The Creative Edit.


11. Code of Conduct

The Creative Edit is committed to providing a welcoming, inclusive, respectful and safe environment for everyone.

We celebrate creativity in all its forms and expect all attendees, exhibitors, speakers, partners, volunteers and staff to contribute positively to the experience of others.

We ask all participants to:

• Treat others with dignity, kindness and respect;

• Celebrate diversity and contribute to an environment that is inclusive regardless of age, disability, ethnicity, gender identity, marital status, nationality, race, religion or belief, sex, sexual orientation, socio-economic background or lived experience;

• Respect personal boundaries, opinions and creative expression;

• Communicate professionally and refrain from behaviour that is intimidating, discriminatory, offensive, abusive, threatening or disruptive;

• Respect the venue, equipment, exhibitors and fellow attendees.

Harassment, bullying, discrimination, unwanted physical contact, inappropriate language or behaviour, or any conduct that compromises the safety or wellbeing of others will not be tolerated.

The Organisers reserve the right to refuse entry, remove individuals from the Event or prohibit future attendance without refund where behaviour is deemed unacceptable or in breach of this Code of Conduct.

Any attendee who experiences or witnesses behaviour that causes concern is encouraged to report it to a member of the Event Team as soon as possible.

By attending The Creative Edit, all participants agree to uphold these principles and contribute to a positive, inspiring and inclusive experience for everyone.


12. Changes to the Event

The Organisers reserve the right to amend speakers, schedules, exhibitors, activities, timings and content without prior notice where necessary.


13. Force Majeure

The Organisers shall not be liable for delays, cancellations, interruptions or changes resulting from circumstances beyond their reasonable control, including but not limited to acts of God, extreme weather, public health emergencies, government restrictions, industrial action, venue closures, terrorism, civil unrest or other unforeseen events.


14. Intellectual Property

Exhibitors and attendees remain responsible for ensuring that all products, materials, performances, demonstrations, content and displays used at the Event do not infringe the intellectual property rights of any third party.

The Organisers accept no liability for any infringement claims arising from materials displayed or activities undertaken by exhibitors or attendees.

The Creative Edit, SHELEN and Kaimba Management names, logos, graphics and promotional materials remain the intellectual property of their respective owners. Exhibitors, partners and third parties wishing to use Event branding for promotional purposes should obtain prior written consent from the Organisers.
